Privacy policy

This notice explains how Dynamix AI (Pty) Ltd (“Dynamix AI”, “we”, “us”) collects and uses personal information through this website, in line with the Protection of Personal Information Act, 2013 (POPIA).

Who is responsible

Dynamix AI (Pty) Ltd is the responsible party for personal information collected through this website. Our Information Officer is Carel de Beer, who can be contacted through our contact form.

What we collect

When you submit the contact form, we collect:

  • your name, and optionally your company and phone number
  • your email address
  • the services you’re interested in and your message
  • your consent to store these details
  • the page and language you used the form from
  • a one-way, salted hash of your IP address (used only to prevent spam — we never store your actual IP address)

We don’t use advertising or tracking cookies. We use Cloudflare Web Analytics, which counts page visits without cookies and without identifying you.

For client and staff accounts, we also store account email addresses, company access, project and support information, ticket conversations and deliverable approval decisions. Signed-in areas use necessary authentication cookies to maintain your session. The client portal does not load the marketing analytics script. Authorised connected agents can access project and support data within their granted permissions; their changes are recorded alongside staff and client activity.

Why we collect it

We use your details only to respond to your enquiry and, if you become a client, to provide our services. We don’t sell or share your information for marketing.

Where it’s stored

Enquiries are stored in a secure database hosted by Supabase, and the website is hosted by Netlify. These providers may store data outside South Africa (for example in the European Union or the United States) under agreements that require them to protect it. We may use an email service provider to notify us of new enquiries.

How long we keep it

We keep enquiries for up to 24 months after our last contact with you, unless you become a client (in which case normal business record-keeping rules apply) or you ask us to delete them sooner.

Your rights

Under POPIA you may ask us to:

  • confirm whether we hold personal information about you and give you a copy
  • correct or delete your personal information
  • stop processing your personal information

To make a request, use our contact form and mention that it concerns your personal information. If you’re not satisfied with our response, you may complain to the Information Regulator (South Africa) at inforegulator.org.za.

Security

We take reasonable technical and organisational measures to protect your information, including encryption in transit and restricting database access to our own server-side systems.

Changes

We may update this notice from time to time. The latest version will always be on this page.
